Empty slots were costing us a fortune. A simple reminder the day before fixed more than half of it.

CarePlus runs four multi-speciality clinics across Hyderabad, handling around 2,800 appointments a month. No-shows were their quietest, costliest problem — patients booking slots and not showing up, leaving doctors idle and other patients waiting longer for availability.

The reminder that worked

They built a single utility template — an appointment reminder sent 24 hours before the scheduled time, with the clinic, doctor, date, time, and a reply-to-reschedule option. It's utility category, so each reminder costs ₹0.145 — a rounding error against the revenue of a filled slot.

The reminder integrated with their booking system: every appointment automatically triggers a WhatsApp send the day before. No staff involvement, no manual calls, no missed reminders on weekends.

What changed

No-shows dropped 54% in the first two months. The reminders gave patients a clear, easy way to reschedule instead of simply not turning up — the slots freed by early cancellations got refilled by patients on the waiting list. Recovered slot revenue was roughly ₹1.8 lakh a month across the four clinics.

Patient satisfaction rose too — measured via a post-visit feedback template — by 31%, largely because patients felt the clinic was organised and respectful of their time. The reminder cost the clinic less than ₹400 a month total. It's the highest-ROI automation they run.
