BrightPath runs JEE and NEET coaching for 1,200 students across three Pune centres. Before WhatsApp, coordinating batch starts, fee reminders, and attendance meant four staff members on phones for days before each cycle — calling parents one by one, half the calls unanswered.

From phone calls to utility messages

Most of BrightPath's messaging is utility — appointment and batch reminders, fee due dates, result notifications. These cost around ₹0.145 per conversation on AiConva, compared to roughly ₹4 per completed phone call (in staff time and telephony). The economics alone justified the switch.

They built three templates: a batch-start reminder 48 hours before, a fee reminder five days before due, and an attendance alert when a student is absent. Each runs as an automated campaign to the relevant segment.

Filling batches, cutting no-shows

The batch-start reminder alone transformed enrolment. Sent to every admitted student 48 hours before a batch begins, it lifted fill rates from 71% to 92% — students who would have forgotten or drifted now showed up. The fee reminder, sent five days before due, cut late payments sharply.

The attendance alert — sent to a parent when a student is marked absent — reduced absences by 61% over a term. Parents appreciated the visibility; the institute appreciated the retention. And it freed 30 staff hours a month that used to go into phone calls.
